Unanet recently released multiple updates to the Contracts Module. Contract clauses were one of the updates that had everyone excited. This new functionality is great if you plan on using it to its full capability. There are multiple steps to this process, which can be time-consuming, so you’ll want to set aside time and plan ahead to complete this process.
Government Regulations Section for Government Contracts
The Contracts Module in Unanet has a section where government regulations can be added to Contracts. The provision section will remain intact, so companies will not be impacted. Adding regulations (clauses) is a multi-step process. This can be done manually or by import. The import template can be downloaded from the Contract Clauses section. The template is comprised of the Agency Code, Clause Number, Title, Description, and Status. Agency codes were pulled from www.acquisiton.gov so all agencies should be represented. There are character limits for title and description, so consider how you want to use these sections.
Do You Want to be Able to Pull Clauses by Threshold?
If so, you may want to add this to the import. Clauses will need to be added to Unanet under Contract Clauses first. Once they are added, this will become your master file of clauses. You can set them as active or inactive and edit them.
You can see in the list of clauses above that some cannot be deleted from the list. This is because the clause has been associated with a Contract. You will be able to edit the clause but not delete it. After your master list is complete, clauses will be available to select and associate with a Contract. Once clauses are associated with a Contract, you can export this list via CSV.
The functionality is not set up where clauses are available to flow down to a Subcontractor, but there are other options.
We would love to help you through this process, talk about best practices, and get you started. If you have questions or would like assistance walking through the Contracts Module features, please let us know. Our Unanet Team is here to assist you through the process.
